How Signers Access Documents
When you send a document for signature, each recipient receives an email with a Review & Sign button. Clicking this button opens the document in a secure, browser-based signing interface.
- No account required — Recipients don't need to create a ZiaSign account
- No downloads — Everything happens in the browser
- Works everywhere — Desktop, tablet, and mobile browsers
Identity Verification
Depending on the sender's security settings, recipients may need to verify their identity before accessing the document:
- None — Direct access via the secure link
- Email OTP — Enter a one-time code sent to your email
- Access Code — Enter a code shared by the sender
- Platform Login — Sign in to your ZiaSign account
The Signing Interface
Document Review
Recipients see the full document with fields highlighted in their assigned color. The interface includes:
- Zoom controls — Pinch-to-zoom on mobile, scroll zoom on desktop
- Page navigation — Thumbnails sidebar or scroll through pages
- Field guide — "Next" button jumps to the next required field
Completing Fields
Each field type has an intuitive input:
- Signature — Opens a modal with three options:
- Draw — Use mouse, trackpad, or finger to draw your signature
- Type — Type your name and choose from multiple handwriting-style fonts
- Upload — Upload a PNG/JPG image of your signature
- Initials — Same draw/type/upload options, sized for initials
- Date — Calendar picker or auto-filled with today's date
- Text — Standard text input with optional validation
- Checkbox — Simple check/uncheck
- Attachment — Upload a supporting file
Guided Signing
ZiaSign guides signers through required fields:
- Yellow highlight indicates the current field
- The Next button advances to the next required field
- Optional fields can be skipped
- The Finish button appears when all required fields are complete
Role-Specific Experiences
Different recipient roles see tailored interfaces:
Signer
The standard signing experience described above — complete all assigned fields and click Finish.
Approver
Approvers review the document and see two action buttons:
- Approve — Approves the document, advancing the workflow to the next step
- Request Changes — Sends the document back to the sender with comments explaining what needs to change
Intermediary
Intermediaries can take one of three actions:
- Delegate — Assign the signing to another person by entering their name and email
- Request Changes — Send the document back with comments
- Download — Download the document for offline review
In-Person Signer
For in-person signing scenarios, the host opens the document on a shared device:
- The host authenticates and initiates the signing session
- The device is handed to the in-person signer
- The signer completes their fields on the shared device
- Control returns to the host
View-Only (Carbon Copy)
CC recipients receive a read-only view of the document. No fields to complete — they simply review the document and can download a copy.
After Signing
Once a signer completes all their fields and clicks Finish:
- They see a confirmation screen
- They can download a copy of the document immediately
- When all parties have signed, everyone receives the completed document via email
- The document includes a Certificate of Completion with the full audit trail
Declining a Document
If a signer chooses not to sign, they can click Decline and provide a reason. The sender is immediately notified and can take appropriate action.
Security
- All documents are encrypted in transit (TLS 1.3) and at rest (AES-256)
- Each signing link is a unique, time-limited token
- Signing sessions are logged with IP address, device info, and timestamps
- Completed documents are sealed with a tamper-evident hash
Frequently asked questions
Do signers need a ZiaSign account?
No. Signers receive a secure link via email and can sign directly in their browser without creating an account. Only Platform Login authentication mode requires an account.
Is the signing experience mobile-friendly?
Yes. The signing interface is fully responsive and works on all modern browsers, phones, and tablets.
What signature options are available?
Signers can draw their signature, type it (with multiple font styles), or upload an image of their signature.
