Settings Overview

ZiaSign settings are organized into four tabs — Account, Billing, Workspace, and Notifications — plus dedicated pages for Profile, Teams, and Sharing Policy.

Login & Profile Setup

ZiaSign uses passwordless OTP-based authentication — there are no passwords. Here's how it works:

  1. Enter your email address on the sign-in page
  2. You receive a 6-digit one-time code via email
  3. Enter the code to sign in
  4. First-time users are prompted to complete their profile by entering their First Name, Last Name, and Mobile Number

You can also sign in using Google SSO or Microsoft SSO. On iOS, Apple Sign In is also available.

Profile

Navigate to your Profile page to manage your personal information:

  • Avatar — Upload a profile picture (shown in the dashboard, team views, and audit trail entries)
  • First Name — Your first name, displayed on documents and audit trails
  • Last Name — Your last name
  • Phone Number — Your mobile number with international country code selector (required for profile completion)
  • Email — Your registered email address
  • Username — Your unique username within ZiaSign

Note: First name, last name, and phone number are required to complete your profile. You won't be able to use the dashboard until these are provided.

Account Settings

Navigate to Settings → Account to manage account-level configuration:

  • Primary Email — Your login email and main notification destination
  • Backup Email — Secondary email for account recovery and redundant notifications
  • Direct Line — Your phone number for account verification and optional SMS/WhatsApp alerts
  • Preferred Timezone — Controls how dates and times appear throughout your dashboard
  • Passkey Login — Toggle passwordless authentication using device biometrics or security keys
  • Active Sessions — View all devices currently signed into your account, with the option to Sign out all other sessions

Workspace Settings

Configure workspace-level settings at Settings → Workspace:

  • Display Name — Your workspace's name, shown in signing emails and document certificates
  • Workspace Slug — A unique URL-friendly identifier for your workspace
  • Data Residency — Choose where your documents and data are stored geographically
  • Retention Policy — Configure how long completed documents are stored
  • Watermarking — Toggle automatic watermarking on draft documents
  • Workspace Policies — Configure default signing settings, expiration rules, and compliance requirements

Team Management

Inviting Team Members

  1. Go to Settings → Teams
  2. Click Create Team or select an existing team
  3. Add members by entering their email addresses and selecting a role
  4. They receive an invitation email to join your workspace

Sharing Policy

Control how documents can be shared from Settings → Sharing Policy:

  • External Sharing — Enable or restrict sharing documents outside your workspace
  • Security Defaults — Default authentication requirements for external recipients
  • Expiry Controls — Default link expiration periods and maximum allowed expiry
  • Visibility Defaults — Default access level for new documents (private, team, or workspace)
  • Cross-Team Sharing — Allow or restrict sharing between teams within your workspace
  • Audit Retention — How long sharing audit logs are retained
  • Log All Views — Toggle detailed view tracking for compliance

Notifications

Control which notifications you receive at Settings → Notifications:

  • Executive Daily Digest — 6 AM email with overnight contract activity
  • Signature Request Escalations — Immediate alerts for stuck signing rounds
  • Platform Maintenance — Scheduled maintenance windows & platform status
  • Analytics Insights — Weekly analytics with trends and anomalies
  • Legal Hold Notices — Instant notifications when legal hold activates
  • WhatsApp Notifications — Enable WhatsApp alerts with your phone number and choose notification categories (signature updates, reminders, completions)

Each notification can be enabled/disabled independently.

Frequently asked questions

How do I sign in to ZiaSign?

ZiaSign uses passwordless OTP login. Enter your email, receive a 6-digit code, and enter it to sign in. You can also use Google or Microsoft SSO.

What information do I need to complete my profile?

After your first login, ZiaSign asks for your First Name, Last Name, and Phone Number. These are required before you can access the dashboard.

How many team members can I add?

All ZiaSign plans include unlimited team members. You can invite your entire team regardless of your plan level.

Can I set different permissions for different team members?

Yes. ZiaSign supports Owner, Admin, Member, and Viewer roles. Each role has different permissions for documents, templates, and settings.

Can I control how documents are shared externally?

Yes. The Sharing Policy page lets you set defaults for external sharing, link expiration, visibility, cross-team sharing, and audit retention.
